Terms of Service

By accessing or using TriniBot, you agree to be bound by these Terms. If you do not agree to these Terms, you must not access or use the Service. If you are using TriniBot on behalf of a business, you represent that you have the authority to bind that business to these Terms.

TriniBot provides businesses with tools to manage bookings and appointments, automate customer replies, and communicate with customers through WhatsApp. The Service includes conversation management, appointment scheduling, service listings, optional Google Calendar synchronisation, hosted public Business Profiles, and related business automation features. We may modify, suspend, or discontinue any aspect of the Service at any time, with or without notice.

You must be at least sixteen (16) years of age to use TriniBot. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You agree to notify us immediately of any unauthorised use of your account. We are not liable for any loss or damage arising from unauthorised account access.

As a business using TriniBot, you are responsible for the accuracy and completeness of the information you provide, including:

• Service descriptions, pricing, and availability;
• Operating hours and staff schedules;
• Customer booking and contact information;
• Business policies, including deposit and cancellation terms;
• Automated reminder and follow-up settings, including any Meta WhatsApp message templates the business selects for use outside the standard customer-service messaging window;
• Business Profile information intended for public display, including business name, description, location, public contact details, website links, services, pricing, and operating hours.

You agree to keep all business information current and accurate, including information displayed on a hosted public Business Profile, and to obtain any necessary consents from your customers before collecting or processing their information through TriniBot. You authorise Rosetech to publish the selected business information on the hosted profile while that profile is active. If you enable automated reminders or follow-ups, you are responsible for selecting appropriate Meta-approved templates where required, keeping the message content accurate, and honouring customer opt-outs and applicable messaging rules.

You agree not to use TriniBot to:

• Send unsolicited or spam messages;
• Engage in any unlawful, fraudulent, or deceptive activity;
• Impersonate another person or business;
• Harass, abuse, or threaten any individual or business;
• Misuse the Meta WhatsApp Business Platform or violate WhatsApp's Terms of Service;
• Attempt to disrupt, reverse engineer, or compromise the security of the Service;
• Use the Service for any purpose that is illegal under the laws of Trinidad and Tobago or any other applicable jurisdiction.

We reserve the right to suspend or terminate access for any violation of these terms.

TriniBot relies on third-party services to operate, including the Meta WhatsApp Business Platform, which is used to send and receive messages, and Google Calendar, which a business may optionally connect for availability checks and appointment synchronisation. If voice-note transcription is enabled by a business, ElevenLabs Scribe may be used to process WhatsApp audio into text. We do not control these third-party services and are not responsible for their availability, performance, or policies.

If you connect Google Calendar, you authorise TriniBot to use the permissions you approve to list available calendars, check free/busy availability, and create, update, or cancel TriniBot appointment events on the selected calendar. You may disconnect the integration at any time from TriniBot. Your use of WhatsApp and Google services is also subject to the applicable provider terms and privacy policies. Changes or disruptions to third-party services may affect TriniBot functionality. A TriniBot-hosted Business Profile is provided as a convenience and public business presence; Rosetech does not guarantee that Meta, Google, or another third party will approve, verify, or accept a business solely because that profile exists.

We strive to keep TriniBot available but do not guarantee uninterrupted or error-free operation. The Service may experience interruptions, delays, or scheduled maintenance. We may temporarily restrict access for maintenance, upgrades, or security purposes. We are not liable for any downtime or loss resulting from service interruptions.

TriniBot's listed Starter, Growth, and Pro plans include the same core platform capabilities and differ principally in monthly AI conversation allowance. A billable AI conversation is one AI-assisted customer chat session lasting up to twenty-four (24) hours from that customer's first AI-handled message; individual messages within that session are not charged as additional conversations. Allowances reset at the beginning of each calendar month in Trinidad and Tobago time, including for annual subscribers. Annual subscriptions, where offered, cover twelve months for the listed annual price. Trial terms and plan assignment require Rosetech approval.

At the contracted AI usage limit, new automated AI chat sessions may be paused until an upgrade, renewal, or authorised top-up. Incoming WhatsApp messages and owner-managed Inbox replies remain available, and critical reminders for already-confirmed bookings may continue. Rosetech does not automatically charge overage fees. Optional extra-conversation requests do not constitute a purchase or add capacity until Rosetech separately confirms the price and approves the request after payment verification, or explicitly grants courtesy credits. Approved extra conversations apply only to the indicated calendar month and do not carry forward. TriniBot subscription charges cover Rosetech software only. Meta WhatsApp Business Platform messaging charges, where applicable, are separate and are normally paid through the business-owned Meta account; the business may need to add its payment method directly in Meta. Rosetech does not collect Meta payment card details during WhatsApp connection. Formal Meta business verification is not always required at initial signup, but Meta can require it to remove restrictions or increase messaging limits. Any Rosetech setup fees and payment-processor charges will be disclosed prior to activation. Subscription billing and renewal are not activated solely by submitting a registration form. We may change future pricing with reasonable notice; agreed current-period charges will follow the terms confirmed at activation.

You may cancel your account or subscription at any time through the platform or by contacting us. Upon cancellation, your access to the Service will cease at the end of your current billing period. We may suspend or terminate your account if you violate these Terms or if we reasonably believe you have engaged in harmful or unlawful activity. When service is suspended, cancelled, or terminated, Rosetech may disable the hosted public Business Profile so it no longer displays the business's public information. The profile URL or slug may remain reserved and will not necessarily be reassigned to another business. Upon termination, other account data may be deleted in accordance with our retention practices and applicable law.

TriniBot, including its software, design, branding, and content, is owned by Rosetech AI Solutions Ltd and is protected by intellectual property laws. You may not copy, modify, distribute, or create derivative works from the Service without our prior written consent. Business content you upload remains your property; you grant us a licence to use it as necessary to provide the Service.

To the maximum extent permitted by law, Rosetech AI Solutions Ltd and its affiliates, directors, employees, and service providers shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including loss of revenue, data, profits, or goodwill, arising out of or related to your use of TriniBot. Our total liability for any claim arising from the Service shall not exceed the fees you paid to us in the twelve (12) months preceding the claim.

TriniBot does not guarantee the uninterrupted or timely delivery of messages through the Meta WhatsApp Business Platform or any other third-party messaging service. Message delivery is subject to the availability, policies, and technical limitations of those providers. We are not responsible for failed, delayed, or filtered messages originating from third-party systems.

We may update or modify the Service at any time. We may also revise these Terms periodically. When we make material changes, we will update the "Last Updated" date. Your continued use of TriniBot after changes take effect constitutes acceptance of the revised Terms.

These Terms shall be governed by and construed in accordance with the laws of the Republic of Trinidad and Tobago. Any disputes arising from or related to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of Trinidad and Tobago.
